The Get Your Roman Tours S.R.L.S Affiliate Programme enables publishers, bloggers, content creators, travel agencies, and digital marketers to earn commission by referring new Customers to the Platform. This Agreement sets out the full terms and conditions governing participation in the Programme.
1. Programme Overview
The Affiliate Programme ("Programme") is operated by Get Your Roman Tours S.R.L.S. Approved participants ("Affiliates") earn commission by directing new Customers to the Platform via unique tracked referral links or promotional codes. Commission is earned on qualifying bookings completed by referred Customers within the attribution window.
2. Application and Approval
2.1 Application Process
To join the Programme, you must submit a complete application at www.getromantours.com/affiliates. You must provide accurate information about yourself and your promotional channels. We review all applications at our sole discretion and reserve the right to decline any application without providing a reason.
2.2 Eligibility Criteria
To be eligible for the Programme, you must:
- Be at least 18 years old and legally competent to enter into binding contracts.
- Operate an active and established digital presence with a genuine, engaged audience (website/blog, social media accounts, email newsletter, YouTube channel, or other channel as approved by us).
- Operate in the travel, culture, food, lifestyle, outdoor, or a demonstrably aligned sector.
- Comply with all advertising disclosure requirements in your jurisdiction (including the FTC Endorsement Guidelines, ASA/CAP Codes, and Italian consumer law requirements as applicable).
- Not operate a business that is in direct competition with the Platform as a tour or activity marketplace.
- Not be located in a jurisdiction subject to international trade sanctions.
3. Affiliate Account and Tracking
3.1 Affiliate Dashboard
Approved Affiliates receive access to a personalised Affiliate Dashboard providing:
- Unique tracking links and customisable promotional codes.
- Real-time reporting on clicks, conversions, Booking values, and commission earned.
- Access to an approved library of banners, logos, promotional copy, and creative assets.
- Payment history and payment account management tools.
- Programme updates, commission rate changes, and promotional opportunities.
3.2 Tracking and Attribution
Referrals are tracked using a combination of first-party browser cookies (30-day attribution window), server-side tracking, and unique promotional codes. Attribution operates on a last-click basis: if a Customer clicks multiple affiliate links within the attribution window, commission is attributed to the most recently clicked link.
The Company is not liable for untracked referrals resulting from the Affiliate's failure to use approved links, ad blockers, private/incognito browsing, or technical failures outside our reasonable control.
4. Commission Structure
4.1 Standard Commission Rates
Affiliates earn the following base commission rates on Qualifying Bookings:
- Standard Experiences (City tours, day activities, walking tours, cultural experiences): 8% of Net Booking Value.
- Multi-Day and Extended Tours (2+ days): 10% of Net Booking Value.
- Private and Bespoke Tours: 12% of Net Booking Value.
- Airport Transfers and Transport Services: 6% of Net Booking Value.
"Net Booking Value" means the total Customer payment, excluding VAT and payment processing fees.
High-performing Affiliates are rewarded with enhanced commission rates:
- Silver Tier (EUR 500–2,500 gross monthly referred sales): +1% commission boost across all categories.
- Gold Tier (EUR 2,501–10,000 gross monthly referred sales): +2% commission boost plus a dedicated Affiliate Account Manager.
- Platinum Tier (EUR 10,001+ gross monthly referred sales): Negotiated custom commission rates, co-marketing opportunities, and priority Affiliate support.
Tier status is reviewed quarterly based on the preceding 3 calendar months. The Company reserves the right to adjust tier thresholds and benefits with 30 days' advance notice.
4.3 Qualifying Bookings
A Qualifying Booking must satisfy all of the following:
- It was completed by a Customer whose most recent click before booking was your approved affiliate link, within the 30-day attribution window.
- The booking was fully paid and confirmed.
- The Experience was completed and a full refund was not issued.
- The booking was not made by the Affiliate themselves, their household members, or persons acting on their behalf.
- It was not generated through any prohibited promotional method (see Section 6.2).
4.4 Non-Qualifying Activities
Commission will not be paid on:
- Self-referrals or bookings made by the Affiliate, their family, employees, or associates.
- Paid search advertisements using our brand name or trademark variations as keywords, unless expressly authorised in writing.
- Bookings subsequently cancelled and fully refunded.
- Bookings generated via spam, incentivised clicks, or prohibited methods.
- Duplicate, fraudulent, or charged-back bookings.
5. Payments
5.1 Commission Lifecycle
- Pending: Commission is recorded upon booking confirmation.
- Approved: Commission is approved after the Experience date has passed and any applicable refund window has expired (typically 30 days post-Experience). Cancelled or fully refunded bookings do not generate commission.
- Locked for Payment: Approved commissions are locked at month-end for payout.
5.2 Payout Schedule
- Commissions locked during a given calendar month are paid by the 15th of the following month.
- Minimum payout threshold: EUR 50.00. Balances below this threshold carry over to the following month.
5.3 Payment Methods
- SEPA Bank Transfer (EU accounts): Standard method; no deduction of transfer fees by us.
- SWIFT International Wire Transfer (non-EU accounts): Standard international banking transfer fees apply.
- PayPal: Available where supported; applicable PayPal fees are deducted from the payout.
Affiliates are responsible for providing and maintaining accurate payment account details. The Company is not liable for payout delays due to incorrect banking information. Affiliates must notify us of any change in payment details at least 14 days before the next scheduled payout.
5.4 Taxes
Affiliates are solely responsible for all taxes applicable to their commission income in their jurisdiction. Where required by law, the Company will withhold taxes at source and issue the appropriate tax documentation. The Company will provide periodic earnings statements as required for tax compliance.
6. Affiliate Obligations
You agree to:
- Promote the Platform honestly, accurately, and in compliance with all applicable advertising and marketing laws.
- Clearly and conspicuously disclose your affiliate relationship in all promotional content where your affiliate link appears, using an appropriate disclosure such as '#ad', '#affiliate', '#sponsored', or an equivalent statement compliant with local law.
- Ensure that all claims you make about the Platform, Experiences, pricing, or policies are factually accurate and not misleading.
- Use only creative assets and promotional materials approved by us, used in accordance with our brand guidelines.
- Promptly update or remove content that becomes outdated or inaccurate, or upon written request from us.
You must not:
- Bid on our brand name, trademarks, or confusingly similar variations in any paid search advertising platform without prior written authorisation.
- Send unsolicited commercial messages (spam) of any kind.
- Use misleading, deceptive, or false advertising claims, including fake testimonials, fabricated reviews, or false comparative claims.
- Place affiliate links on websites containing illegal content, adult content, hate speech, gambling promotions, or any harmful or offensive material.
- Engage in cookie stuffing, forced clicks, click fraud, or any form of artificial traffic generation.
- Create or publish fake reviews of Experiences.
- Misrepresent your relationship with us or imply that you are an employee, official representative, or spokesperson.
- Use our trademarks, logo, or brand assets without prior written authorisation.
- Promote us on coupon, cashback, or loyalty reward sites without our express prior written consent.
- Use automated software, bots, or scripts to generate artificial traffic, clicks, or conversions.
7. Intellectual Property
We grant you a limited, non-exclusive, non-transferable, revocable licence for the duration of this Agreement to use approved Brand Assets (logos, images, promotional copy) solely for the purpose of promoting the Platform in compliance with this Agreement and our brand guidelines. You may not alter, modify, or create derivative works from Brand Assets. All intellectual property rights in Brand Assets remain our exclusive property. Your licence terminates immediately upon termination of this Agreement.
8. Term and Termination
8.1 Term
This Agreement begins upon our written approval of your application and continues indefinitely until terminated.
8.2 Termination by Either Party
Either party may terminate this Agreement with 14 days' written notice. Commissions earned and approved before the termination date will be paid at the next scheduled payout.
We may terminate this Agreement with immediate effect and forfeit any unpaid commissions if you:
- Breach any provision of this Agreement.
- Engage in any prohibited promotional activity set out in Section 6.2.
- Engage in fraudulent, deceptive, or illegal conduct.
- Take any action that damages or risks damaging our reputation.
- Provide materially false information in your application or account.
8.4 Effect of Termination
Upon termination: access to your Affiliate Dashboard is revoked; all affiliate links are deactivated; you must immediately remove all Brand Assets and affiliate links from your promotional channels; Pending commissions at termination are forfeited; Approved commissions will be paid at the next payout date unless termination was for cause.
9. Limitation of Liability
THE COMPANY'S MAXIMUM AGGREGATE LIABILITY TO THE AFFILIATE UNDER THIS AGREEMENT SHALL NOT EXCEED THE TOTAL COMMISSION PAID IN THE 3 MONTHS IMMEDIATELY PRECEDING THE CLAIM. THE COMPANY MAKES NO REPRESENTATION REGARDING EXPECTED VOLUME OF BOOKINGS, CONVERSION RATES, OR INCOME. PAST PERFORMANCE DATA IS ILLUSTRATIVE ONLY.
10. Programme Modifications
We may modify the Programme at any time, including commission rates, attribution rules, and payout schedules. Material changes will be communicated with a minimum of 30 days' notice. Your continued participation following the effective date of any change constitutes acceptance.
11. General Provisions
Independent Contractor: The Affiliate is an independent contractor. This Agreement does not create an employment, partnership, franchise, joint venture, or agency relationship. The Affiliate has no authority to bind the Company.
Entire Agreement: This Agreement, together with the Platform's Terms of Service and Privacy Policy, constitutes the entire agreement between the parties regarding the Affiliate Programme.
Governing Law: This Agreement is governed by Italian law. Disputes shall be subject to the exclusive jurisdiction of the courts of Rome, Italy.
Severability: If any provision is found unenforceable, the remainder continues in full force.
